A sample is the start of an evaluation
A small bag of fiber or a fabric swatch is useful when everyone knows what it needs to demonstrate. Before requesting a sample, explain whether you are matching an existing material, developing a new product or comparing alternatives. These are different purchasing situations.
Match the trial to the intended use
For filling, compare the selected material in a representative shell and at the intended fill weight. For a nonwoven, include the proposed blend, construction and processing method. For yarn or fabric, describe the construction, color and finishing reference that the sample will be compared against.
Keep an approval reference
Record the sample identification, the specification received with it, the evaluation date and the results you observed. If changes are requested, describe the change directly: a different dimension, finish, color reference or processing requirement. Keep the approved reference with the order discussion.
Move from evaluation to a quotation
State the material and grade, planned quantity, packaging and destination. Explain which test reports, composition details or other documents are required. Price and lead time should be discussed against that defined requirement.
